Polish Birth Certificate: What Is an Akt urodzenia?

In Poland, the official entry recording a person’s birth is called an Akt urodzenia. It forms part of the civil status register maintained through Urząd Stanu Cywilnego (USC) offices.

The entry identifies the person concerned and includes their date and place of birth, together with details of their parents. Certain later changes to civil status may also be reflected in the register.

What people generally call a Polish birth certificate is an official extract, or odpis, taken from this entry.

The distinction is useful when an old paper copy has disappeared. Losing the document does not erase the original registration. The information remains in the register, and another extract can be issued to someone entitled to request it.

There is another point to consider. A certificate kept in family papers for many years may not be the version an overseas authority wants today. Some procedures call for a particular type of extract or a recently issued copy.

Types of Birth Certificates Available in Poland

Not every extract from the Polish civil registry contains the same amount of information. The available formats serve different administrative purposes.

The principal options are:

Odpis skrócony aktu urodzenia — an abridged extract containing the essential details of the birth registration.
Odpis zupełny aktu urodzenia — a full extract presenting the entry in greater detail, including relevant subsequent changes.
Odpis skrócony wielojęzyczny aktu urodzenia — a multilingual abridged extract intended for use in certain international situations.

For a straightforward administrative matter, the abridged version may be sufficient. A case involving family history, parentage or changes recorded after birth might call for the full extract instead.

The multilingual version has a different purpose. Its standardized layout can be helpful when dealing with authorities abroad, although it does not eliminate every possible translation requirement.

When Is a Birth Certificate from Poland Needed?

Where to Obtain a Birth Certificate in Poland?

Civil status registration in Poland is handled through Urząd Stanu Cywilnego (USC).

The place where a person was born does not always dictate where an application for a new extract must be submitted. Under the Polish system, requests can generally be made through USC offices other than the one associated with the original entry, subject to the applicable rules and availability of the registration.

Consider a person born in Gdańsk who now lives in another country. Their application does not necessarily have to be handled exclusively by the office in Gdańsk.

The age of the registration can make a difference, however. Some older entries require additional administrative work before an official extract becomes available through the relevant system.

This is one reason we begin by checking the details already known about the birth. The location, approximate date and any previous paperwork can help establish how the application should proceed.

Who Can Request a Polish Birth Certificate?

Civil status information is protected under Polish law. Knowing somebody’s name and birthplace is not enough to obtain unrestricted access to their records.

A person can apply for an extract relating to their own birth. The rules also allow certain relatives and other eligible applicants to request documents in specified circumstances.

Parents, children, spouses and other qualifying family members may have access under the relevant provisions. Someone outside those categories may need to demonstrate a legally recognized interest.

This distinction becomes important when the paperwork concerns a parent, an adult child or a deceased family member.

How to Obtain a Birth Certificate from Poland Remotely

The destination country is important here. Under EU Regulation 2016/1191, certain public documents concerning birth are exempt from apostille requirements when presented between EU member states within the regulation’s scope.

For other destinations, the Hague Apostille Convention or a separate international agreement may determine the necessary procedure.

Language requirements are a separate matter. A multilingual extract can be useful in certain situations, but a foreign institution may instead require a sworn or certified translation.

Not every official extract is produced in the same format.

An electronic document carries its own method of official authentication. Printing it at home does not automatically create the equivalent of an officially issued paper original.

The multilingual abridged extract is issued in paper form.

Making that choice early can prevent complications with apostille, translation and delivery later.
